
e-PRINTVIEW is an Employee and Management Self Service, Internet
application for online W-2, W-2c and Pay Stub processing.
With e-PRINTVIEW, your employees can now print their original
W-2 tax forms and Pay Stubs online, replacing the previous labor intensive printing
and mailing process. The IRS has approved this innovative distribution
method allowing you to simply post W-2's and/or Pay Stubs on our secure Web site for immediate
access by your employees. All you need is your employee's consent and
e-PRINTVIEW can dramatically reduce the flow of paper in your Payroll
department. The savings can be significant when distributing an employee
W-2 or Pay Stub electronically as compared to the traditional expenses (i.e.,
paper/forms, envelopes, printer expenses, labor, stuffing, sealing and
postage).
W-2 Reissues
e-PRINTVIEW can also be used for all your W-2 reissue processing. An employee
can correct their address online and print their W-2 reissue copy or have
it sent to their email address to print at their convenience. Administration areas allow for an authorized management user to print or email W-2 reissues for employees.
W-2c Creation
e-PRINTVIEW allows managers to process W-2c's online. A manager can display
the existing W-2 data, edit it and generate the W-2c form. Once completed,
the W-2c form can be emailed directly to the employee or printed online.
All tax form email attachments are in PDF file format and can be encrypted using 128-bit standards.
Any employee can request a reissue or address correction
through our secure Internet site by simply entering their user ID and
password, as shown in the example below. All employee requests are recorded
and tracked for your entire W-2 population. Click the image below for

e-PRINTVIEW has dynamic management areas for verification reports
and processing statistics, accessible only with a specified login and
password. This enables management to access up-to-the-minute processing

EMPLOYEE CONSENT PROCESS
In order for you to distribute original W-2's electronically for the January
31 deadline, the IRS has regulations requiring your employees to approve
this distribution method. The approval process must be done in a manner
reasonably demonstrating that the employee can access their W-2 online.
e-PRINTVIEW complies with this regulation by allowing your employee to
register their consent by following a few easy steps within our Employee
Consent Web page. Once the
consent process is completed, you are sent a text file listing all employees
who approved this method. These employees will not require a mailed, hard
copy W-2 form.
PRICING
Implementation Fees
First year set-up fees are based on your W-2 and/or Pay Stub volume and include data extraction programming, data integrity verification, company preference options, employee and management User ID and Password configuration, security management and collocation facility maintenance. All set-up fees for subsequent years will be 30% off.
Online Form Processing Fees
A monthly $.40 usage fee will be charged per online transaction (i.e.,
W-2 original, W-2 reissue, W-2c and Employee Consent transactions processed
monthly from e-PRINTVIEW for each tax year used). This enables your employees
and managers to print or email W-2 originals, W-2 reissues and W-2c statements
online in a PDF format.
Database Load Fees
Load fees are based on your W-2 and/or Pay Stub volume per upload (see
database load pricing sheet).
Prior Year Database Archive & System Fees
e-PRINTVIEW will allow you to maintain prior W-2 or Pay Stub information
for your employees in compliance with IRS W-2 retention requirements. A database
storage fee is charged based on your form volume for each previous year
saved (see maintenance pricing sheet). In addition, any prior year online
form processing will be billed at the monthly usage fee rate.
